Booking an independent inspector is not an accusation. It is how a buyer confirms that the goods in the container are the goods that were approved. Most of the time the answer is that everything is fine, and the cost of finding that out is cheap insurance on a shipment that was never in doubt. Still comparing options? everything we make maps everything we make in one page, and How to Get a Custom Furniture Quotation picks up the thread from here.

This guide covers what an independent inspection actually looks at, how to book one so the scope is right, and how to read the report and decide what to do with it. We are a custom furniture manufacturer in Foshan, China, and we run our own inspection through production. We are not an independent inspection agency and we do not issue a certificate that implies one. What we do is make booking an independent inspector a straightforward thing, and we are happy to be inspected. This page explains what a third-party inspection covers, how booking works, and how to read the report, alongside our own factory quality control process for comparison.

What an Independent Inspection Covers

An inspection is booked at a stage, and each stage protects against something different. The table below lists the four stages and what each one is for.

Note what is not on that list: an inspector does not certify that the design is good, and does not guarantee the whole shipment. What they do is inspect the goods, at a point in time, against the standard and the scope you set, and report what they find.

Inspection stages and what each one is for
Stage When it is booked What it protects against
Pre-production Before materials are committed Wrong specification, damp timber, unavailable fabric
During production At 10-30% of output complete Assembly and finish defects that are still cheap to fix
Pre-shipment At 80-100% complete, packed or being packed Batch quality, quantity, labelling and packing
Container loading On the loading day Short shipment, shifted load, undocumented condition

How to Book One

Booking is straightforward, and the thing that decides whether it is useful is the scope. The inspector needs the order, the drawings or the approved sample, the quantities and the location. They will quote a fixed fee for a defined scope.

That scope should state four things: which stage is covered, whether it is a full inspection or a sampling plan, the standard and defect classification being applied, and how long the report takes. Get it in writing before the visit. If the scope is vague, the report is vague, and a vague report cannot settle anything.

One practical point: tell the supplier you have booked an inspection. Not to warn them so they can prepare, although they will do that anyway, but because the honest factory does not mind and the one that objects has just told you something useful.

Reading the Report and Deciding

A report is only useful if you can act on it. The minimum is a clear pass or fail conclusion, the defects found with photographs, the quantity and identity of the goods inspected against the order, and the inspection coverage agreed with the supplier.

The judgement after that is yours, and it depends on what the defects are. Minor cosmetic findings on a batch of forty are normal and usually accepted. A major finding - a dimension outside tolerance, a wrong material, a structural joint - is not, and it should trigger either a correction with a recheck, a credit, or a rejection. What we would avoid is a decision made in the moment without knowing whether the batch passed the agreed sampling standard.

Two practical rules. Agree the defect classification before the inspection, not after, because the classification drives the outcome. And keep the report. When a claim happens months later, it is usually the only thing that settles it.
