The last twenty metres of a furniture project decide how the whole thing is remembered. The goods arrive, they get carried in, and then a question appears that nobody wrote down: who positions this, who fixes it to the wall, who levels it, who silences the hinge, who cleans the film off, and who signs it off? Get that wrong and the client spends their first week in the villa arguing about a drawer. Still comparing options? everything we make maps everything we make in one page, and Furniture Warranty, Spare Parts and Reorder Guide picks up the thread from here.

This guide covers the three releases that have to happen before anyone starts work, how the receiving and handover runs on a real project, how to plan installation around the construction programme, and what should be left behind when the last van leaves. We are a custom furniture manufacturer in Foshan, China, and in most markets we do not install ourselves. We would rather give you the information and the records that let a local team do it properly than sell you a service that is thin on the ground. For the commercial side of the same project, our project furniture wholesale service sets out how a project scope is quoted and structured.

Three Releases Before Work Starts

Nothing should be installed until three things are released, and each of them answers a question that otherwise gets answered badly on site. The table below sets out who confirms each one and what evidence should exist at handover.

The point of writing these down is not bureaucracy. It is that on a live site, the person holding the drawing in the morning is rarely the person who agreed it the week before. When something is unclear, the installer guesses - and the guess becomes your problem.

The responsibility matrix for a furniture installation scope
Question to close Who confirms it Evidence at handover
Site release The main contractor or client, with defined zone boundaries and open restrictions Dated zone release naming the zones and the restrictions
Item release The design and procurement side, against the current drawing revision and sample Released schedule, drawing number and sample reference
Internal distribution The logistics or warehouse team Location scan, carton count or signed transfer record
Assembly and placement The installation team, following the product information and approved layout Item-level completion or first-of-type record
Fixing and connections The trade providing substrate, power, data or plumbing interfaces Approved method and interface acceptance
Protection and cleaning The installation team, with later-access control agreed Protection status and area condition record
Inspection and acceptance The party authorised to accept, reject or release with comments Inspection result, exception log and approval status

From Receiving to Handover

A handover is a sequence, not a moment. The steps below are the order we work to, and they are the order that keeps the last hour from turning into an argument.

The records are what make it work. Each zone gets a handover sheet, each item has an item code, and the sheet records who accepted what and when. That sheet is the answer to "who signed for this?" months later, and it is also what a warranty claim needs behind it.

The installation sequence: receive and verify, distribute, unpack and assemble, place and fix, adjust, clean and protect, inspect and hand over 1 Receive & verify 2 Distribute 3 Unpack & assemble 4 Place & fix 5 Adjust 6 Clean & protect 7 Inspect & hand over

Planning Around the Construction Programme

Furniture has a programme, and the programme is not optional. Bedrooms are fitted before the public areas, loose furniture goes last, and anything that depends on a finished floor waits for it. A piece delivered into a wet building is a piece that gets damaged and blamed on the wrong party.

The practical part is scheduling delivery against the site, not against the factory. That means knowing which zone is released on which date, and delivering in the order the zones are ready rather than in the order the containers arrive. Our quotation guide covers how the delivery sequence enters the price and the schedule.

What Handover Should Leave Behind

A proper handover leaves six things behind. The handover sheets, signed and dated, one per zone. The keys and hardware, counted and listed. The care and maintenance information for the materials used, in the client's language. The spare parts and fixings that came with the order. The photographs of any noted defects, so they are not rediscovered later. And the item codes, so a reorder in two years can be matched to what was actually supplied.

And it leaves one thing clear: where responsibility moves. From that point on, wear, cleaning, adjustment and eventual repair are the operator's tasks, supported by whatever service arrangement the contract set out. Saying that at handover prevents both sides from assuming the other is still responsible. We have seen that assumption cause more damage than any single manufacturing fault.
