We do not install in most markets. That is not a gap in the service - it is a deliberate choice, because a local team on the ground knows the building, the access and the local labour rules, and we do not. What we do is make a local installation team effective: assembly information, hardware and fixing lists, item coding, zone and room references, and the records that let a team work from a schedule rather than from a delivery. If you are still working out where to start, everything we make puts the whole catalogue in one place, and How to Get a Custom Furniture Quotation is the closest read to this one.

This page covers what an installation team is actually responsible for, what to check before appointing one, how the installation scope should be written, and how we support a local team. It is aimed at the side of the project where the goods meet the building. For the wider delivery and handover picture, our project handover documentation guide covers the three releases and the handover records.

What an Installation Team Is Responsible For

An installation team takes the goods from the delivery point to the finished, protected, handed-over state. That means receiving and checking the delivery against the packing list, moving each item to its zone, unpacking and assembling, placing and fixing it, adjusting it so it sits right, cleaning and protecting it, and finally inspecting and signing it off.

What an installation team is not responsible for is the quality of the goods. If a panel arrives with a defect, that is a factory matter, and the right action at handover is to record it, photograph it and raise it - not to patch it on site. We have seen projects lose weeks to this: a team quietly fixes a chipped panel, nobody records it, and the same defect appears in the next phase because nothing was fed back.

The distinction is worth being explicit about in the scope, because it decides who pays when something goes wrong.

What to Check Before Appointing One

Six areas to check before you appoint anyone, and the table below sets out the question to ask and the evidence to ask for. The checks are not about finding a bad team - they are about finding out whether they have done your kind of work.

The most telling question is the last one. A team that asks for the current drawings, the product information and the approved layout before quoting is a team that plans. A team that quotes from a photograph and asks for the details later will charge you for the difference.

What to verify before appointing a furniture installation partner
Area to check Question to ask Evidence to request
Method Do they work from the current drawings, product information and approved layout? Sample work plan, method statement, drawing revision referenced
Protection How are finished surfaces, floors and adjacent work protected? Protection method, material list, damage record process
Interfaces How are power, data, plumbing and threshold interfaces handled? Interface responsibility matrix, fixings schedule
Capacity Do they have the people and tools for the volume and the number of sites? Crew plan, equipment list, subcontractor policy
Compliance What site rules, insurance and reporting do they work to? Insurance documentation, site access and reporting examples
Reference Have they done a comparable project, and can the client be called? Named reference, signed handover from a similar job

How the Installation Scope Is Written

A written scope, in our experience, saves more money than any discount negotiation. It should state what is being installed and what is not, who provides the fixings and the tools, what the site conditions must be, how the team accesses the building, what protection is included, what is treated as a defect rather than a variation, and how the handover is signed.

The clause that matters most is the one that defines a defect. Without it, every scratched panel becomes a variation and every variation becomes a negotiation. With it, the site team knows what to record and the factory knows what to fix.

How We Support a Local Installation Team

We send what a team needs to work properly, and it is mostly information rather than equipment. Assembly information for every piece, with the fixings listed. Hardware and fixing lists so nothing is missing on the day. Item codes matched to the packing list so a team can identify a piece without guessing. Zone and room references so the right thing goes to the right room in the right order.

We also record the handover properly. A signed handover sheet per zone, the keys and hardware counted, and photographs of any noted defect, so that later there is no argument about what was accepted. The installation and site handover guide sets out the three releases and the handover records in full, and the sequence there is the sequence a team should work to.

And if something does go wrong, the team has a route to a decision rather than a phone call that goes unanswered. Our factory quality control process is what sits behind that route, because a defect has to be evidenced before anyone can act on it.
