Luxury Hotel Furniture Suppliers: How the Price Is Actually Built

Two hotels ask us to quote the same guestroom. Same drawings, same room count, same port. The numbers come back forty percent apart, and neither supplier is lying. One of them is pricing a different object than the other, and until you can see which parts of the two prices are different, you cannot tell a good quote from a thin one.

This page is about the money. The evaluation side - how to score suppliers on evidence rather than on presentation - sits on how luxury hotel buyers evaluate suppliers. If you have not fixed the scope yet, start with hotel furniture scope by room instead, because price without scope is a number floating in air.

Why two quotes for the same room differ by half

In our experience the gap is rarely labour and almost never the visible timber. It sits in five places: what the spec actually says once it is written down, how much solid timber is used where only the buyer can see a veneer, what the hardware is and who guarantees it, how the goods are packed and what happens when they arrive damaged, and whether a room sample is inside the price or billed later.

None of those five show up on a rendered image. All five show up in year two.

What sits inside a luxury hotel furniture price

A transparent hotel furniture price has these layers. Ask any supplier to break the number this way and the comparison becomes possible.

The layers inside a hotel furniture unit price
Layer What moves it How it shows up later
Board and timberVeneer grade, solid edging versus taped, panel thickness, moisture content at deliveryEdge lifting, joint opening, seasonal movement
Joinery hoursMachined and glued joints versus stapled assemblies, drawer construction, internal fittingsLoosening under a hotel cleaning cycle
FinishingCoats, sanding between coats, open-pore versus closed, colour matching to a physical sampleBatch-to-batch colour drift across rooms
Hardware and mechanismsNamed brand versus unbranded, runner load rating, soft-close, hinges rated for public useReplacement work orders in the first two years
UpholsteryFoam density, fabric rub count, seam construction, webbing versus sinuous springSeat collapse and seam failure in high-use rooms
Sample and approval workWhether a room sample is built, revised twice, and who absorbs the revisionEither a fixed standard for the batch, or a dispute

Where a cheaper price is safe, and where it is not

Some savings cost nothing. Simplifying a shape the guest never touches, switching a hidden panel to a lower-grade board with the same structural rating, consolidating packaging across room types, or reducing the number of finish variants all lower the number without lowering what the hotel is buying.

Other savings move the cost instead of removing it. Reducing foam density in lobby seating, dropping to an unbranded drawer runner, taping edges where a hotel trolley hits, or skipping the sanding step between coats all reduce today's invoice and increase the maintenance budget. If a quote is materially below the others, ask which layer it changed - the answer tells you whether to take it.

How to read the quotation itself

  • Itemised, per room type. A lump sum hides scope. Ask for the price per item, per room type, with quantities visible.
  • Exclusions stated, not implied. Packing, freight, insurance, installation, sample cost, duty and unloading are the usual gaps.
  • Unit rate plus repeat price. The price of one more room in year two matters as much as today's total.
  • Specification referenced by revision. The quote should say which drawing revision and which finish schedule it priced, so a later change can be priced rather than argued.

What a factory needs in order to produce that kind of quotation is set out on how to run the RFQ and compare responses, including the package that makes several quotes comparable at all.

Where to go next

If the scope is already fixed and you are choosing between suppliers, the evaluation criteria are on how luxury hotel buyers evaluate suppliers. If you are still assembling the room schedule, start with hotel furniture scope by room. For public areas rather than guestrooms, lobby zoning and furniture covers that separately.
